Terms of Service — Dirigo Union Discord Bot

Interim version, August 2026 — pending final Board/Standards Panel ratification.

These terms cover the Dirigo Union's Discord bot ("Sgt. Tozier"), operated by the Dirigo Union, a 501(c)(7) supporters' club for Portland Hearts of Pine.

1. Who it's for. The bot serves the Dirigo Union Discord server only. It verifies DU membership and supports moderation of that server; it is not offered for use anywhere else.

2. Membership verification. By using /verify you assert that the email you enter belongs to your own DU membership. One membership links to one Discord account. Disputes (shared family emails, new Discord accounts) are resolved by the Board, not the bot.

3. Conduct. Use of the server is governed by the DU Code of Conduct. The bot may flag messages for moderator review; all enforcement decisions are made by humans under the DU's five-tier framework.

4. Your data. What the bot collects and how long it's kept is described in our Privacy Note (see the Privacy Note page on this site). Verifying constitutes consent to that specific, described use.

5. No warranty. The bot is a volunteer-run club tool provided as-is. The DU may change, suspend, or retire it at any time. Membership itself is governed by your agreement with the Dirigo Union via its Wix site, not by these terms.

Privacy Note — Dirigo Union Discord Bot

The Dirigo Union runs a Discord bot ("Sgt. Tozier") that does two things: verifies DU membership and helps our moderators uphold the Code of Conduct. Here is exactly what it does with your information.

What we store when you verify

When you run /verify, the bot checks the email you enter against DU's membership list on Wix. If you complete verification, we store:

  • your Discord ID and your Wix member ID (the link between the two accounts)

  • the email on your membership and the display name you confirmed

  • your membership's paid-through date (so we know when it expires)

That's the whole record. It lives in a private database only the bot and named DU admins can reach — it is never shared, exported, shown in Discord, or written to any spreadsheet.

The 6-digit code we email you is stored only as a hash and is deleted within 10 minutes.

What the moderation monitor does

The bot screens public messages against the DU Code of Conduct. Ordinary messages are checked in memory and immediately discarded — nothing is stored unless a message is flagged. Flagged messages (an excerpt, your Discord username, and the reason) go to the moderator team for human review. The bot never punishes anyone; every enforcement decision is made by people under the DU's five-tier framework.

Moderation records identify people by Discord username only — they are never connected to your name or email.

How long we keep things

  • Leave the server → your verification record is deleted after 30 days.

  • Membership lapses → the Member role is removed after a 7-day grace period, and your record is deleted 90 days after lapse.

  • Dismissed moderation flags → deleted after 12 months.

Your choices

You can ask for your record to be deleted at any time — email info@dirigounion.com and dirigouniontechteam@gmail.com. You lose the Member role and can re-verify whenever you like.

What we will never do

We never sell or share your data, never store your ordinary chat, never auto-punish, and the bot cannot modify your Wix membership (its access is read-only).
